The exhibition is a vital part of WEEC 2017. Every effort will be made to ensure that all exhibitors receive prime exposure and direct marketing opportunities with delegates. Efforts include but are not limited to:

  • Tables set up for exhibitors in the Welcome Reception Ballroom on the first evening of the Congress
  • Exhibit Area located just outside of the session rooms, on the passage of every delegate
  • Morning coffee breaks located in the Exhibit Area on all Congress days

The Congress offers several opportunities for your organization to support a Plenary or Parallel (Poster) Session in the Scientific Program.

Support includes acknowledgement on the Congress website, in the Onsite Program, and on any Congress schedule when relevant. It also includes your logo on screen and verbal acknowledgement by the moderator at the beginning and end of the session.

1 The Congress Secretariat will send e-blasts to interested parties on a regular basis prior to the event to update on newest developments about the Congress. Your custom banner will be displayed in the body of the e-blast.

2 All confirmed delegates will receive a final confirmation email a few days before the Congress, with valuable information such as Venue address, Registration Desk hours, etc. Your custom banner will be displayed in the body of the email.

3 Every morning (Saturday - Sunday - Tuesday - Wednesday), the Congress Secretariat will provide delegates with an email update highlighting the best sessions and presentations scheduled for that day. It will also include any session or room changes to make sure delegates always have the most up-to-date information. Your custom banner will be displayed in the body of the email.

Sponsor will be responsible for providing the banner ad as per specifications to be communicated by the Congress Secretariat.

A marketing item of your choice will be included in each delegate bag and after being used at the Conference, will be carried away to many different countries. Production and shipping costs are the responsibility of the Sponsor. The item could be:

As the sponsor of this Delegate Bag Item, you will:

Volunteer Shirts (Exclusive) CAD 2,000
Volunteers are important to the success of the Congress. Over 20 staff and volunteers are necessary to ensure it runs smoothly. These individuals wear shirts for clear identification, constantly providing assistance, and making the attendees feel welcome.

As the exclusive sponsor of the Volunteer Shirts, you will:

  • Have your logo on the shirts along with the Congress logo
  • Be acknowledged with your logo in the Onsite Program as the Sponsor of the Volunteer Shirts
Delegate Help Desk (Exclusive) CAD 3,000
The Delegate Help Desk will be located within the registration area at the Convention Centre. Staff will be available to assist delegates with any questions they may have regarding the Congress, the Scientific Program, or Vancouver.

As the exclusive sponsor of the Delegate Help Desk, you will:

  • Have the desk branded with your logo/custom design
  • Be acknowledged with your logo in the Onsite Program as the Sponsor of the Delegate Help Desk
Coffee Breaks (8 available) CAD 3,000 each
Networking opportunities are among the most important reasons the delegates attend the Congress. Each day, the Congress will provide snacks and refreshments during the morning  coffee breaks, served in the Exhibit Area for all attendees free of charge.

As the sponsor of one of the Coffee Breaks, you will:

  • Have table top cards with your logo on all food and beverage stations during your selected coffee break
  • Be acknowledged with your logo in the Onsite Program as the Sponsor of the selected Coffee Break
Charging Station & Lounge (Exclusive) CAD 5,000
A Charging Station & Lounge will allow attendees to power up their mobile phones, tablets, laptops, and other electronic devices for free, while providing a comfortable seating area to conduct meetings, check emails or simply to study the Congress program. It will be in high demand and can be placed in the Exhibit Area near your booth.

As the exclusive sponsor of the Charging Station & Lounge, you will:

  • Have the Charging Station branded with your logo/custom design
  • Have the opportunity to position a custom free-standing banner in the Charging Station (banner supplied by Sponsor; maximum size 3' x 5')

Faculty & Sponsor Reception (Exclusive) SOLD
The 'by-invitation-only' Faculty & Sponsor Reception will take place on the evening of Tuesday, September 12. Plenary speakers, major sponsors and local committee members will be invited to this event, providing them with a unique opportunity to mix and mingle during their busy Congress schedule.

As the exclusive sponsor of the Faculty & Sponsor Reception, you will:

  • Receive five (5) complimentary invitations to the Reception
  • Have your logo placed on the tickets and menu cards, and on signage onsite
  • Be verbally acknowledged during the dinner as the Sponsor of the Faculty & Sponsor Reception
Hotel Key Card Branding (3 available) CAD 7,500 per hotel
Several hotels contracted by the Congress Secretariat offer the opportunity to custom brand their hotel key cards. This is a unique opportunity to put your branding in the hands of most delegates.

Please note that the sponsorship price does not include the production of the key cards. Please contact the Conference Secretariat for further information on this option.

USB Memory Stick of Abstracts (Exclusive) CAD 7,500
Each registered delegate will receive a USB memory stick with the collection of all abstracts submitted and accepted for presentation at the Congress. It will be handed out when the delegates pick up their registration package.

As the exclusive sponsor of the USB Memory Stick of Abstracts, you will:

  • Have your logo displayed on the outside of the USB memory stick
  • Be acknowledged with your logo in the Onsite Program as the Sponsor of the USB Memory Stick of Abstracts
Luncheons (4 available) CAD 7,500 each
Each day, the Congress will provide lunch to all attendees free of charge. Lunch will be served in the Exhibit Area.

As the sponsor of one of the Luncheons, you will:

  • Have table top cards with your logo on all food and beverage stations during your selected luncheon
  • Be acknowledged with your logo in the Onsite Program as the Sponsor of the selected Luncheon
Welcome Reception (Exclusive) SOLD
The Welcome Reception will take place on Saturday, September 9 in the Ballroom. Exhibitors will be provided with a table to display literature. The Reception will provide delegates, speakers, sponsors and exhibitors with the opportunity to mix and mingle while enjoying refreshments.

As the exclusive sponsor of the Welcome Reception, you will:

  • Have table top cards with your logo on all food and beverage stations during the Welcome Reception

Wireless Internet (Exclusive) CAD 10,000
Wireless internet will be available throughout the venue at no charge allowing delegates to use the Congress Mobile App to view the scientific program, access abstracts, or connect with other delegates and colleagues.

As the exclusive sponsor of the Wireless Internet, you will:

  • Have your logo displayed on all relevant signage associated with the wireless internet
  • Have your custom graphic displayed on the access page of the wireless network (to be confirmed)

Monday Plenary Session & Congress Dinner (Exclusive) CAD 15,000
The Congress Dinner will take place on the evening of Monday, September 11 following that evening's Plenary Session. All delegates are invited to attend this event at a nominal charge and nearly 70% of Congress delegates attend the dinner.

As the exclusive sponsor of the Congress Dinner, you will:

  • Receive four (4) complimentary tickets to the dinner
  • Have your logo placed on the tickets, menu cards and onsite signage
  • Be acknowledged with your logo in the Ballroom and in the Onsite Program, as well as verbally during the event, as the Sponsor of the Monday evening Plenary Session & Congress Dinner
Delegate Bags (Exclusive) CAD 15,000
All registered delegates will receive a delegate bag with the Congress materials such as the Onsite Program, USB memory stick of abstracts, sponsor information, etc. Congress bags can often be seen years after an event, all around the Globe. So will your logo...

As the exclusive sponsor of the Delegate Bags, you will:

  • Have your logo displayed on the delegate bag or strap along with the Congress logo (bags provided by Congress Secretariat)

Onsite Mobile App (Exclusive) CAD 15,000
The Onsite Mobile Application will be available free of charge for most iOS and Android mobile devices. The mobile app will include the full scientific program, the exhibit floorplan including exhibitor biographies and general Congress, venue and local information. Timely updates about any onsite program changes or important announcements will be sent through the app via notification alerts.

As the exclusive sponsor of the Onsite Mobile App, you will:

  • Have your logo displayed in the Sponsored App Section
  • Have the opportunity to have one (1) pinned Promoted Message or one (1) Push Notification per day

Accommodation

The Congress Secretariat (International Conference Services, Ltd.) is the official housing bureau for WEEC 2017 and will offer assistance with the coordination of housing requirements for the Congress. Discounted room rates have been negotiated for delegates and groups. All sponsors and exhibitors are asked to support the Congress by booking accommodations via the official Housing Bureau. Priority selection of hotel rooms will be granted to sponsors.

The Congress Secretariat retains the right to downgrade sponsorship levels if sponsors do not book through the official Housing Bureau. Accommodation booking is available through the Congress website.
